This production policy template describes the intended service behavior. Counsel should review it before public launch in each operating jurisdiction.
Information we process
We process account identifiers, organization and subscription information, territories, filters, saved-lead states, notes, export history, alert deliveries, security logs, support messages, and correction requests. Stripe handles payment credentials; PermitProspect stores subscription identifiers and entitlements, not full card numbers.
Public-record data
Official sources may contain more personal information than PermitProspect needs. Public display suppresses owner names, personal phone numbers and emails, signatures, source documents with sensitive information, and exact residential coordinates by default. We retain source identifiers and provenance needed to verify and correct normalized records.
How information is used
We use information to provide search, alerts, workflow, exports, billing, security, source health, support, corrections, and aggregate product analytics. We do not sell personal contact lists or use permit records to enable automated calling, SMS, or bulk email.
Sharing
Service providers may process database hosting, email delivery, object storage, error monitoring, analytics, and payments under contract. We may disclose information when legally required or to protect users and the service. Customer lead states and notes remain private to the customer organization.
Retention and security
Retention schedules follow source licenses, operational need, account obligations, and legal requirements. Raw source snapshots should use encrypted object storage and access controls. Sessions use secure, HTTP-only cookies; write actions require origin checks and authorization.
Your choices
Users can manage alerts, unsubscribe from email, and request account deletion subject to necessary billing, security, and legal retention. For a source-derived record, use the correction and removal workflow. Identity verification may be required.
